Supplier Guidance – Getting Started

Welcome to the Supplier Portal.

This guide explains how suppliers can register, log in, and manage their business’s information.

Step 1 - Be ready to accept your Invitation

When a panel that your business is participating on is ready to be onboarded to the Supplier Portal, your business contacts will be invited to begin their registration process. This will happen one panel at a time to ensure a smooth transition.

Where businesses are participating on multiple panels, the contacts listed in AusTender for each panel will be invited, this ensures no one misses out.

As the Supplier Portal is an Australian government system the use of shared mail or group mail addresses are not recommended.

Avoid using shared or group email addresses when accessing the Supplier Portal. If your business receives an invitation to a shared or group e-mail address, you can contact the relevant panel administrator.

Panel Suppliers

The invitation process relates to suppliers that have been invited to the Supplier Portal via a Panel Arrangement.

Once you receive an invitation for a panel you are listed as a contact for, you will then be able commence following the onboarding process to access the system.

  • Look out for an email clearly marked as an invitation to register to the Supplier Portal for a specific panel arrangement.
  • This email will be delivered from NoReply@tenders.gov.au include the business name and the panel being onboarded.
  • A secure link will be provided to begin registration.

Reminder: Invitations will only be sent to panel contacts for the panel/s that are being onboarded into the Supplier Portal.

The invitation email contains a unique link that ensures your account is connected to the correct business / supplier record. This link is secure and cannot be shared with others.

  • Click the secure link provided in the invitation email.
  • You will be taken directly to the Supplier Portal access page.

All other Suppliers

From July 2026, registration is open to all businesses, starting with suppliers with an Australian Business Number. Further rollout activity is expected for non-ABN holders in the coming months.

Confirm the email address is valid in the system and recognises you as the invited contact, and has linked you to the correct business.

If you require an update to the email address, please refer to our FAQ's.

To keep your registration secure you will be provided a link, and a 6-digit passcode in your invitation email.

  • Enter this passcode on the verification screen.

Once verified, you can set up the login details you will use for all future access to the Supplier Portal.

  • Your email address will be your username.
  • Create a secure password that meets the on-screen requirements.
  • Keep these details safe - they will be needed each time you log in.

After creating your login details, the system will confirm that your account has been successfully registered.

  • A confirmation message will display on screen.
  • Your account is now linked to your business for that panel.
  • You must log in with your new username and password before accessing the dashboard.

Once you log in, you will arrive at your Supplier Portal dashboard as one of the panel contacts for your business on that panel.

  • As a panel contact, your details will already appear in the Supplier Portal.
  • You can add Additional Contacts to share responsibility.
  • If your business is on multiple panels, you will receive a separate notification as panels are onboarded.

Step 2 - Logging in

Access to the Supplier Portal will be available at suppliers.tender.gov.au/sign-in, and can also be navigated to from the AusTender website.

You can log in at any time to view or update your details.

  • Open the Supplier Portal website in your browser.
  • Select the Log in option.

Use the details you created during registration.

  • Enter your username (your email address).
  • Enter your password.
  • Select Log in.

After logging in, you’ll be taken to your Supplier Portal dashboard. This is where you can manage your contacts, business profile, and view your panel arrangements.

  • If you are one of the panel contacts listed in the panel deed, your basic details will automatically appear in the portal.
  • Registration activates your account so you can now log in and manage your business’s information.

Step 3 – Manage Panel Contacts

Panel Contacts should always be individuals from within your business, and shared mailboxes should not be used when registering or creating a contact. Shared mailboxes may result in:

Lack of Accountability: When multiple people access a shared mailbox, it becomes difficult to track who is responsible for specific actions or messages. This lack of traceability can complicate investigations if something goes wrong.

Weaker Access Controls: Shared mailboxes are often accessed using common credentials or broad permissions, increasing the risk of unauthorised access if those credentials are shared or leaked.

Information being sent to and from a shared mailbox increases the possibility of confidential information being mishandled.

Shared mailboxes should be avoided.

Some contact details are set based on your panel records and will automatically appear in the portal.

  • The panel contacts may be the individuals already listed for your business when the panel onboarded.
  • These contacts are carried over into the Supplier Portal automatically.
  • They appear in the contacts list but are read-only.
  • Panel contacts cannot be changed through the portal.

You can add other individuals in your business who should also receive invitations.

  • Select +Add Contact from the contacts section.
  • Enter their name and email address.
  • The system will send them an invitation to register.

You control which of your contacts are eligible to receive invitations.

  • Each contact can choose to opt out of receiving invitations for a specific panel.
  • Opting out does not remove them from the portal — they simply stop receiving invitation emails.

Maintaining accurate contacts ensures your business doesn’t miss opportunities.

  • Regularly review your contacts and remove anyone who no longer needs access.
  • Ensure at least one valid contact remains active.

Step 4 – Manage Your Business Profile

Your Business Profile allows you to present your business to government buyers and the public. This includes your logo, description, identifiers, and online presence.

Your logo is displayed on your supplier profile and in search results.

  • From the dashboard, select Business Profile → Company Logo.
  • Upload your logo file (JPG or PNG format).
  • The recommended logo size is 150 × 150 pixels.
  • For best results, use a high-quality, square version of your logo.
  • Select Submit to save.

Most businesses already have a logo file, but it may be larger or a different shape to what's required for the Supplier Portal. Here are some applications you can use to make sure it's the right size:

On Windows

  • Paint: Open your logo, use the “Select” tool to crop a square, then resize to 150 x 150 pixels and save as JPG or PNG.
  • Paint 3D: Offers more advanced cropping and resizing options.
  • Microsoft Photos: Crop and resize, then export.

On Mac

  • Preview: Open your logo, use the selection tool to crop a square, then go to Tools > Adjust Size to set 150 x 150 pixels.

On Mobile Devices

  • iOS Photos: Crop to square, then use an app like “Image Size” to set exact dimensions.
  • Android Gallery: Crop, then use an app like “Photo & Picture Resizer”.

Your business description gives buyers a clear overview of your business.

  • From the dashboard, select Business Profile → Business Description.
  • Enter a short description of your business and key capabilities (100–200 words is recommended).
  • Avoid confidential or sensitive information — this content is visible publicly.
  • Select Submit to save.

You can share your official website and social media presence on your profile.

  • From the dashboard, select Business Profile → Social Media Links.
  • Enter your business’s website and social media accounts (e.g. LinkedIn, Facebook, Twitter, Instagram).
  • Only enter accounts used for official business purposes.
  • Select Submit to save.

Business identifiers help buyers understand the key characteristics of your business. Adding them is optional, but they can increase your visibility in searches.

From the dashboard, select Business Profile then Business Identifiers.

Review the list of available identifiers.

  • Choose one or more identifiers that apply to your business:
    • Small and Medium Enterprise
    • Indigenous Business
    • Large Enterprise
    • Women Owned Business
    • New Zealand Business
    • Australian Business
  • Select Save to apply your selections.
  • Update your identifiers if your circumstances change. If none are selected, none will be displayed.

Further information on business identifiers can be found at:

Where suppliers have multiple business names linked to their ABN, they can select the preferred name to display in the Supplier Portal.

This means you can showcase the name that is most commonly used in your business dealings, even if it differs from your legal name.

To update your business name:

  • Login using your Supplier Portal email and password
  • Navigate to ‘Manage Business Profile’
  • Select ‘Registration Details’ from the left menu
  • Select a Business Name from the those registered in the ABR against the ABN
  • Select ‘Submit’ and ‘Apply Changes’
